Open the invoice and tap Send email. The client needs an email on their record. This sends the PDF, and a view link if the client portal is on.
“Mark as sent” versus sending
Where in the app: Documents → Invoices
Mark as sent only changes the invoice status so it counts as issued in reports. It does not email or message the client.
After an invoice is sent
Where in the app: Documents → Invoices
A sent invoice can no longer be edited. To correct it, create a credit note, then send a new invoice if you still need to charge.
What is a quote?
Where in the app: Documents → Quotes
A quote is an offer, not a tax invoice. You can email the PDF, share a public link, and mark it accepted or declined. A sent quote can expire on its valid-until date.
How do I turn a quote into an invoice?
Where in the app: Documents → Quotes
Open the quote and choose Convert to invoice. That creates a draft invoice from the same lines and client. A quote that was already converted cannot be returned to draft.
How do I record a payment?
Where in the app: Documents → Invoices
Open the invoice and record a payment for the amount received. You can record more than one payment until the remaining balance is zero. Recording a payment is not the same as emailing the invoice.
When should I issue a credit note?
Where in the app: Documents → Credit notes
Use a credit note to reverse or reduce an invoice that was already issued. Issued invoices cannot be edited. The credit note reduces what the client owes and the VAT figures for the period it is issued in.
