Add an expense for something you already paid.
How do I record an expense?
Where in the app: Purchases → Expenses
Add an expense for something you already paid. Attach a receipt if you have one — you can scan it — and pick a category. Input VAT can only be claimed when the supplier has a TRN.
What is a bill?
Where in the app: Purchases → Bills
A bill is a purchase you still owe, separate from an expense you already paid. Receiving the bill posts it to the ledger. Input VAT is claimed when the bill is received, not when it is paid.
How do I add a supplier?
Where in the app: Purchases → Suppliers
Open Suppliers and add their name, and a TRN if they are VAT-registered. Bills require a supplier. Expenses can optionally link one so input VAT and history stay attached to that record.
How does FIFO stock tracking work?
Where in the app: Contacts → Products
Products marked “track stock” keep layers of quantity and unit cost. Issuing an invoice consumes the oldest layers and posts cost of goods sold. A credit note can put quantity back. On-hand and stock value on the product list come from this.
What is a periodic stock count?
Where in the app: Finance → Stock counts
Goods that are not layer-tracked still hit the Inventory account (1400) when you buy them. At month end you enter a stock count — the closing value of untracked stock. Fatura posts the movement to cost of goods sold so the books match what you counted.
When does period close warn about a missing stock count?
Where in the app: Finance → Stock counts
Period close warns (STOCK_COUNT_MISSING) when account 1400 moved in a month and there is no count for that month’s last day. Enter the count on the Stock counts screen. This Help panel never records a count for you.
